FirstIndex is run by Ordinary Systems, LLC. This page covers this site and FirstIndex Mail, the tool that reads the mailboxes we send outreach from. What we do with a client’s own data is in our agreement with that client.
This site
We count visits with Cloudflare Web Analytics. It doesn’t use cookies and doesn’t track you across other sites.
The start form doesn’t send anything from the site. It opens your own email app with your request filled in, and we only see it if you send it.
FirstIndex Mail
When a client signs up, they can give us an email address on their domain for outreach: short notes to sites that could link to them, and directory listings. FirstIndex Mail connects to that mailbox through Google with read-only access, so we know when someone writes back.
- What it reads: only email threads that hold a message sent from that mailbox. It never reads the rest of the mailbox.
- What it keeps: each thread’s ID, so it can tell what’s new. When someone replies, it copies their message, its sender and subject, and our last message into our private task list, so we can answer it.
- What it can’t do: send, delete or change any email. We write every reply ourselves.
- Where it goes: our task list lives in Notion, and an AI assistant drafts our reply from the copied message. It goes nowhere else. We don’t sell it or use it for ads.
FirstIndex Mail’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
The mailbox’s owner can take our access away at any time from their Google Account permissions, or by asking us. When a client leaves, we remove our access to their mailbox.
